1. Payments & Refunds

All payment and cancellation details will be clearly outlined in your personalized Tour Proposal. Refund claims must comply with the terms provided at the time of booking.

2. Child Policy

• Children under 12 enjoy a 25% discount when traveling with two full-paying adults and sharing the same room.
• Extra beds are charged at full adult rates.

3. Tour Itineraries

Due to weather or unforeseen events, itineraries or accommodations may be changed without notice. We do our best to maintain the integrity and quality of your experience.

4. Early Hotel Check-in

Standard check-in is mid-afternoon. If you’d like early check-in upon arrival, we can arrange it for an extra fee—please ask during booking.

5. Physical Fitness & Adventure Activities

Some of our tours include adventurous activities like:

• Hiking
• Game drives
• Canoeing
• Nature walks
• Cycling or trekking

We recommend basic physical fitness (equivalent to regular walking or light jogging). Please consult us ahead of time if you have health concerns or mobility restrictions.

6. Travel Insurance

Full travel insurance is mandatory. Your policy should cover medical emergencies, evacuation, trip cancellations, and lost luggage. It’s your responsibility to ensure you’re fully protected before departure.

7. Photography Consent

Photos taken during tours may be used for promotional purposes. If you’d prefer not to appear in marketing materials, please let your tour guide know at the start of your trip.

8. Travel Documents

All guests must carry valid passports and any necessary visas or permits. We’re happy to assist with documentation advice but cannot be held responsible for delays due to incomplete paperwork.

9. Luggage Guidelines

Most domestic flights in East Africa allow:

• 20kg (Economy)
• 40kg (Business) Carry-on bags are limited and may be weighed. All luggage should be lockable. Excess baggage fees are the traveler’s responsibility.

10. Complaints & Claims

If something isn’t right during your trip, please inform your guide or travel advisor immediately so we can fix it on the spot.

For post-trip claims:

• Submit your complaint in writing within 15 days of your tour’s end.
• Include supporting documents (e.g., receipts or photos).

12. Booking Confirmation & Service Vouchers

Once your booking is confirmed and payment is received, you’ll receive a Service Voucher via email or WhatsApp. This voucher includes your tour details and is required at the start of your trip.

Liability, Responsibility & Force Majeure

• Havillah Tours and Safaris Ltd is not liable for losses, delays, or damages caused by natural disasters, government restrictions, strikes, political instability, weather, or any force majeure events beyond our control.
• We’re not responsible for services provided by third-party suppliers (airlines, hotels, boats) not directly operated by us.
• Clients participate in activities at their own risk. Our team ensures safety measures are in place, but certain physical and adventurous elements may involve risk.

We reserve the right to adjust itineraries, replace accommodations, or cancel tours when necessary. If a tour is canceled before departure, we will issue a full refund.
